Printing an ID Card

How to print an ID Card for an Employee or Service Provider Member. You must have either the Administrator or Service Provider Manager user role assigned to print ID Cards.

Printing ID Cards requires the correct hardware, the correct ID Card template, and an ID Card to be added to an employee's or service provider member's profile.

Hardware Requirements

There are two hardware requirements to print ID Cards, the correct cards to print on and a compatible printer.

CR80 Cards

We have made our ID Cards available to be printed on the most common sized ID Cards used world-wide, CR80 cards. The dimensions for this card size are 2.13" x 3.38" (54mm x 86mm), the size of a standard credit card.

CR80 Cards are plastic or PVC cards which are used to create permanent or semi-permanent ID Cards.

Compatible Printers

Because the CR80 card is so commonly used, it is compatible with most ID Card Printers. These printers are different from the standard label printer used to print paper badge passes for visitors and service providers.

ID Card printers print on plastic or PVC cards and often have the ability to print in color.

If you're not sure whether your printer can print on CR80 cards, we recommend contacting your hardware vendor or looking up the specifications online.

Printing an ID Card

Once you have determined that you are using the correct hardware, have created a template, and have added an ID Card to a person's profile, you are ready to print an ID Card.

Quick Tip! ID Cards can be printed with either a QR Code or a Barcode, this is set up in the ID Card template. The type of barcode symbology we support is Code 39, this applies to barcodes only.

ID Card printing works by creating an online PDF of the ID Card and then printing to your ID Card printer. This method allows you to print an ID Card from any computer using any browser, including computers with multiple printers installed.

Please Note: Your printer will need to have its settings configured prior to printing. These settings will depend on your printer and because most ID Card Printers are compatible we are unable to provide an exact guide for this setup.

You can print ID Cards manually one-by-one, or in bulk, each method has different steps to begin printing and then depend on the browser you are using to finish. First we will go through the steps to begin printing, then the browser specific steps.

Manual Printing

1. Go to the employee's or member's profile and select the Tokens section

For employees:

  1. Go to Tools > Locations
  2. Click View next to the location
  3. Select Employees from the left-hand menu
  4. Click View next to the Employee
  5. Select Employee Tokens from the left-hand menu

For Service Provider Members:

  1. Go to Tools > Service Provider Manager
  2. Select Members from the left-hand menu
  3. Click View next the member
  4. Select Member Tokens from the left-hand menu

2. Click the black Print button next to the token

3. Follow the below steps for your specific browser

Bulk Printing

Please Note: When printing in bulk you will only be able to print in either landscape or portrait. If your tokens have two different orientations, you will need to print these separately.

1. Go to Tools > Identity Manager

2. Click View Tokens next to the Token Type linked to the ID Card Template

3. Select the ID Cards to print using the checkbox on the right-hand side

4. Click the Run an Action dropdown menu

5. Select Print Token

6. Click Run Action

7. Follow the below steps for your specific browser

The steps to follow for printing will depend on your browser. We have outlined the steps for the following browsers below:

Internet Explorer 11

Google Chrome

Mozilla Firefox

Microsoft Edge

Apple Safari

Please Note: If you are running Internet Explorer on Windows 8.1 or older, the instructions for printing ID Cards are the same as Microsoft Edge below.

1. Follow the above steps for either Manual or Bulk printing

A PDF version of the ID Card will appear in a new window. Please take this time to ensure the template and details of the ID Card are correct.

2. Click the Print Icon in the PDF window

Please Note: You can also download a copy of the PDF from this view. You can use this option to capture the QR/Barcode of an ID Card Token without printing a card.

3. Select the correct printer

Quick Tip! Ensure the printer settings are correct for your ID Card by clicking Properties or adjusting the settings on screen, watch the preview for changes.

4. Click Print

The ID Card will be printed and a log of the printing will be created next to the token in WhosOnLocation.

Google Chrome

1. Follow the above steps for either Manual or Bulk printing

A PDF version of the ID Card will appear in a new window. Please take this time to ensure the template and details of the ID Card are correct.

2. Click the Print Icon in the PDF window

Please Note: You can also download a copy of the PDF from this view. You can use this option to capture the QR/Barcode of an ID Card Token without printing a card.

3. Select the correct printer

Quick Tip! Make sure the preview is in color to print a color logo or photo and the sizing is set to Fit the page option to ensure your ID Card doesn't shrink when printing.

4. Click Print

The ID Card will be printed and a log of the printing will be created next to the token in WhosOnLocation.

Mozilla Firefox

1. Follow the above steps for either Manual or Bulk printing

A PDF version of the ID Card will appear in a new window. Please take this time to ensure the template and details of the ID Card are correct.

Please Note: You can also download a copy of the PDF from this view. You can use this option to capture the QR/Barcode of an ID Card Token without printing a card.

2. Click the Tools menu

3. Select Print

Quick Tip! Click the Properties button to ensure that the printer settings are correct for this ID Card

5. Click OK

The ID Card will be printed and a log of the printing will be created next to the token in WhosOnLocation.

Microsoft Edge

Please Note: When printing from this browser, you must save the PDF file to your computer and then print from a PDF reader. You cannot automatically print from the browser.

1. Follow the above steps for either Manual or Bulk printing

A PDF version of the ID Card will appear in a new window. Please take this time to ensure the template and details of the ID Card are correct.

2. Right-click the image

3. Select Save as

The ID Card will save to your computer.

4. Open the saved badge pass

5. Select Print

6. Select the correct printer and ensure your settings are correct

7. Print the ID Card

The ID Card will be printed and a log of the printing will be created next to the token in WhosOnLocation.

Apple Safari

Please Note: When printing from this browser, you must save the PDF file to your computer and then print from a PDF reader. You cannot automatically print from the browser.

1. Follow the above steps for either Manual or Bulk printing

A PDF version of the ID Card will appear in a new window. Please take this time to ensure the template and details of the ID Card are correct.

2. Save the PDF to your computer

3. Open the PDF

4. Click Print

5. Select the correct printer and ensure your settings are correct

6. Print the ID Card

The ID Card will be printed and a log of the printing will be created next to the token in WhosOnLocation.
