Non-Host Employee

From time to time we are asked if it is possible to have an employee added to the employee list of a location but have it that the employee does not appear as a potential 'host' for visitors signing-in. We are pleased to release the new Non-Host employee role type. When an employee is assigned to the Non-Host role type their name will not appear on your visitor kiosk.

Where might this be useful?

  1. You are a manufacturer with 500 employees at your main Plant. You want to include all 500 in your WhosOnLocation employee list for that Plant so that in the event of an incident all 500 appear in your evacuation muster report. However; 420 of them perform job tasks within the plant that don't ever require them to host visitors; so you would like them to be excluded from the visitor host list.
  2. You add temporary employees to your employee list, again for incident management purposes, however the nature of their roles means they do not host visitors. Now you can add your temporary employees AND exclude them from your visitor host list.
  3. With hundreds of schools using WhosOnLocation several of them have added students to their employee list. Some of these same schools require the student to sign into the school visitor/student kiosk entering their reason for being late. A Student Badge is printed which the student must then pass to their teacher as evidence they have registered appropriately their 'late arrival'. Like the above scenarios, the school wants to exclude students from the visitor host list.
  4. When employee's go on extended leave you may want to remove them from the visitor host list during their leave of absence.

Assign Non-Host rights in seconds

  1. As an Administrator go to Tools > Locations > and select the blue Employees hyperlink alongside the location name.
  2. Select the tick box found alongside the employee's name (s) whom you want to assign Non-Host rights to.
  3. Scroll to the bottom of the screen and select the run action titled: Change Role Type.
  4. Choose the Role Type 'Non-Host'
  5. Select Run Action.

Enhancements

Employee Token Scanning Speed

We have many customers that have issued employees with a RFID, barcode, or QR Code enabled ID Card and they are required to tag on and off site. We have just released a new option which will speed up this process. Enabling this option will make scanning in and out near instantaneous by removing any deny-access triggers and delaying the sync to your WhosOnLocation account to run in the background.

New Brother Printer Badge Template

We have released a new Badge Template to support the Brother Printer Badge Code: VBRT3. The Badge Label size is: 81x62mm / 3.1875x 2.4375.

Ability to Revoke (disable) Employee Access to WhosOnLocation

From time to time Administrators grant employees access rights to login to your WhosOnLocation account. This may because the employee is a user who manages contractors, or is a receptionist user, report user, or simply an employee who needs to pre-register visitors.

In the event you want to revoke login rights you now can.

Revoke Employee Login Permission

  1. As an Administrator go to Tools > Locations > and select the blue Employees hyperlink alongside the location name.
  2. Select the tick box found alongside the employee's name whom you want to disable access for.
  3. Scroll to the bottom of the screen and select the run action titled: Revoke Login Permission.
  4. Select Run Action.

New Contact Options when sending Portal Users their Invite to Access the Portal

Prior to this release whenever your granted a Service Provider (contractor) member access to your Service Provider Portal the email that is sent to them with details on how to access the portal always included a default statement in the footer of the email that read: "If you have any questions regarding this invite please contact:" - and WhosOnLocation automatically added the name and email of the user that sent the invite.

We have had requests for the 'contact' listed in the footer to be a specific person (e.g. the Procurement Manager or their colleague) - as opposed to the Sender of the invite.

With today's release you can now select who the 'contact person' should be that is listed in the footer of the email. You can choose from:

  1. The Sender of the invite (this is the default setting)
  2. Another nominated Employee in your WhosOnLocation Account
  3. A non-Employee

To review and/or update your accounts settings you must be a Service Provider Administrator.

  1. Go to Service Provider Manager
  2. Select Portal Administration from the left-hand menu
  3. Select the Settings sub-tab
  4. Make your selection and Save

Bug Fixes

Insurance Trigger Firing Incorrectly

There were occurrences of an insurance policy that is set to 'Inactive' activating a trigger linked to 'expired' insurances. This has been resolved.
