Sign In/Out Manager Returning Visitor Auto-Complete

In this article we will walk you through the steps to setup your Sign In/Out Manager returning visitor auto-complete.

Remembering Visitors

When a returning visitor is signed in by a Sign In/Out Manager (receptionist or security guard) the first step is to enter the visitor's name.

As the visitor's name is entered WhosOnLocation will present a list of previous visitors names (and where they were from and the date of their visit) as a pick list.

If the visitor being signed in is one of the previous visitors listed in the pick list, the Sign In/Out Manager selects their name. The answers to the visitor sign-in questions from their previous visit are used to auto-complete the sign-in form. This saves time and allows the Sign In/Out Manager to be more efficient in handling returning visitors.

The 80/20 Rule

80% of the time returning visitors are visiting the same employee.

If the Sign In/Out Manager is asking the visitor for their email address or mobile phone number we auto-complete these fields for the Sign In/Out Manager.

What questions from their last visit are not auto-completed?

Because the answers to some questions are dynamic, in that they would, or could, change with each visit we do not auto-complete what we refer to as 'dynamic questions. These include (if activated):

  1. Purpose of Visit
  2. Card Issued (if issuing a card to a visitor as opposed to a printed visitor pass)
  3. Car Parking Space Number

What is the Sign In/Out Manager Returning Visitor Auto-complete Setting?

This is the number of days the returning visitor pick list looks back when a visitor is returning and being signed in by a Sign In/Out Manager.


Your choices are 10, 30, 60, 90, 120, 180, 360 Days respectively.

Note: If this location is a very high visitor traffic site you may want to limit the Returning Visitor Search to 30 or 60 days only. Otherwise the resulting pick list becomes too large.

1. Go to Tools > Locations

2. Select the green View button beside the location you wish to manage

3. Select Location Settings from the left-hand menu

4. Select the Sign In/Out Manager tab

5. Click the field for Returning Visitor Auto-complete

6. Select your preferred days

7. Click Save
