How To Send a WolPass

Sending a WolPass manually, automatically, and from the Sign In/Out Manager. The options available to you depend on your account’s settings.

There are two different ways you can send a WolPass to visitors, one automatically and two manually. To send a WolPass automatically, your account must have the Calendar Invites integration enabled. To send a WolPass manually, you must have some access to the WhosOnLocation dashboard.

You can send a WolPass by:

Automatically sending once a Calendar Invite is created

Manually sending once you have pre-registered a visitor event

Manually sending as a Sign In/Out Manager to any visitor

Please Note: The WolPass Add-on must be enabled by the Account Owner and the WolPass must be activated for your location by a WolPass Manager to use this feature.

Automatic Sending

The automatic sending of a WolPass is only available when your account has enabled the Calendar Invites integration. This allows you to pre-register visitors directly from your calendar.

There are two settings for automatically sending your WolPass, either as soon as a calendar event is created or once your visitor(s) has entered their details into the visitor portal.

Please Note: It is not necessary to automatically send the WolPass when using Calendar Invites, if the feature is not enabled then the WolPass will not send.

These settings are enabled by the WolPass Manager in the settings of the WolPass. Once enabled, the WolPass will being automatically sending based on the selected settings.

Manual Sending for Pre-Registered Visit

Any user that has login permission to the WhosOnLocation desktop application can pre-register visitors and, if the WolPass for their location is enabled, send a WolPass to those visitors.

Pre-registering a Visitor

To send your visitors a WolPass after pre-registering:

1. Go to My Visitors > My Pre-Registered Visitors

2. Click Send Email next to your visitor/visitor group

3. Make sure that your visitor(s) email address(es) are correct

4a. EITHER click Send next to the visitor’s email

4b. OR select the visitor(s) using the checkboxes and click Send Email to Selected

The Send button will change to Sent and the date and time of sending will appear

The Send Email button will change to show how many WolPasses have been sent and how many people are in the visit event. E.g. Sent 1 of 2 means 1 WolPass has been sent and there are 2 people in the event.

You can manually resend a WolPass using the same method. There is also an automatic resend option available in the WolPass settings that the WolPass Manager can enable.

Manually Sending as a Sign In/Out Manager

As a Sign In/Out Manager, you can see all pre-registered visitors that are scheduled to come to your location. You can also see whether a visitor has been sent a WolPass and if not, send one to them.

To send a WolPass to a pre-registered visitor from the Sign In/Out Manager screen:

1. Click Send Email next to the visitor/visitor group

3b. OR select the visitor(s) using the checkboxes and click Send Email to Selected
