Employee Badge Pass Rules

How to create rules for printing an employee badge pass. You must have the Administrator user role to access these settings.

When you are printing badge passes for employees, you can set up rules to choose the conditions which must be met for a badge pass to print, e.g. employees from another location only.

Please Note: To set up rules, you first need to create your Badge Pass Template.

Setting Up Rules

Set up as many rules in your location as required. Each rule must meet all options selected to print the chosen badge pass, e.g. if you select a department and a role type in one rule, then the employee must belong to the department and the have that role type assigned.

If you want to set up multiple scenarios that could result in a pass printing, e.g. global roaming employee or employee with driver’s licence token type, then you would set up a different rule for each scenario with one option selected.

Please Note: If you have more than one rule with the same options selected, the first rule in the list will be applied.
  1. Go to Tools > Locations.
  2. Click View next to your location.
  3. Select Questionnaire Manager from the left-hand menu.
  4. Select the Basic Questions Employees tab.
  5. Select the Badge Pass Rules sub-tab.
  6. Click Add Rule.
  7. Choose the Template using the dropdown list.
  8. Select the options. See below for details on the options available.
  9. Click Save.

You can repeat this for as many rules are you need to set up.

Badge Pass Rule Options

When an employee signs in at a Kiosk and meets all the options selected in the rule, the chosen badge pass template will print automatically.

Employees in the following Departments – An employee singing in with any of the selected departments.

Employees with the following Employee Role Types – An employee singing in with any of the selected role types.

Employees with the following Token Types – An employee signing in by scanning a token with any of the selected token types.

Global Roamers – An employee with a different home location.

Manual Sign-in – Employee signing-in manually – An employee singing in by entering their name into the Kiosk, rather than scanning a token.

Ordering Multiple Rules

When you have multiple employee badge pass rules, you can change the order they appear in the list. If you have more than one rule with the same options selected, the first rule in the list with those options will be applied.

To change the order of your rules, click and drag the rules using the ordering icon.

Enabling Employee Badge Pass Printing on a Kiosk

Once you have enabled the badge pass rules for your location, if you are printing from a Kiosk, you need to enable printing on that Kiosk.

Please Note: You will need to enable printing on all Kiosks that you want to print employee badge passes from.
  1. Go to Tools > Locations.
  2. Click View next to your location.
  3. Select Sign In/Out Kiosks from the left-hand menu.
  4. Click View next to the Kiosk you want to manage.
  5. Select the Mode tab.
  6. Select the Enable Employee Badge Pass option.
  7. Click Save and Close.
