WolScan Device Management and Billing

How to manage the number of devices per location, connected devices, and billing.

You can set a device limit. The device limit allows you to set the maximum number of devices that can be connected to your WhosOnLocation per location. Not all devices need to be connected at one time. Devices can be disconnected from a location allowing for new devices to be added. You can easily remove devices that are no longer being used, e.g. when a receptionist’s iPhone is upgraded, and a new device is issued.

Managing Allowed Device Limit

You must be the Account Owner to change the device limit for a location.

When you enable the WolScan integration for a location, the device limit defaults to one. This is because you need to be able to connect at least one device to use the integration.

To change the locations device limit:

  1. Go to Tools > Accounts.
  2. Select Integrations from the left-hand menu.
  3. Select WolScan.
  4. Click Settings.
  5. Click Edit next to the location.

  6. Change the WolScan Device Limit.
  7. Click Save.


The device limit is the maximum number of devices you can have connected to that location. Billing is based on the number of devices connected to a location.

Please Note: The minimum device limit defaults to one. If you do not need any devices connected, disable WolScan at that location.

Managing Connected Devices

If you reach your device limit, you need to remove a device to connect a new device, e.g. if a receptionist's iPhone is upgraded. The connected devices can be viewed and disconnected in two places; Sign In/Out Manager settings and the WolScan integration settings within your account.

Sign In/Out Manager Settings

To manage connected devices as an Administrator:

  1. Go to Tools > Locations.
  2. Click View next to your location.
  3. Select Sign In/Out Manager from the left-hand menu.
  4. Select the WolScan tab.


WolScan Integration Settings

To manage connected devices as the Account Owner or an IT Support user:

  1. Go to Tools > Account.
  2. Select Integrations from the left-hand menu.
  3. Select WolScan.
  4. Click Settings.
  5. Click Manage next to a WolScan enabled location.


Viewing and Disconnecting Devices

Once you have navigated to the appropriate Manage Devices screen, you can view the connected devices. The following information is available:  

Last User – The last Sign In/Out Manager that used the device to link to their WhosOnLocation profile.

Device Name – The name of the device set in the iPhone settings.

Device Type – The version of the connected iPhone.

Device ID – The unique ID for the device is automatically created by WhosOnLocation when first connected. This is found within the Help menu for WolScan.

First Connected – When the device was first connected to your WhosOnLocation account.

Last Scanned – The last time the device was used to scan an ID and data sent to WhosOnLocation.


To disconnect a device, click the red Disconnect button next to the device and click Confirm on the pop-up. You can now connect a new device to the location.

Billing Details

When WolScan is first enabled for your location, you receive a free, 30-day trial for up to five devices.

The 30-day trial allows you to understand and test ID photo scanning for your organization.  

Five days prior to the end of the trial we will email you, you’ll need to take one of two actions:

  1. Continue using WolScan - Set the number of licenses you will continue to use and will be billed for once your trial has ended.
  2. Discontinue using WolScan - You will need to disable WolScan.

WolScan billing is based on the number of devices you have loaded at your location. The device number is set by the Account Owner. Billing overview:

  • You will be billed on the same cycle as your current WhosOnLocation subscription.
  • If you are billed annually your first invoice will be prorated based on when your next annual billing cycle is due to rollover i.e. annual billing rolls over on 1 March 2019, WolScan subscription commences on 1 November 2018, you will be billed for four months at the commencement of using WolScan.
  • If you are billed monthly, a WolScan line item will be added to your recurring monthly invoice each month.
  • If you are on an Enterprise subscription.  Your subscription included two free devices per location. Any additional devices added to your location will be charged accordingly.

Changes to device limit

If you are billed annually and make changes to your device limit during your billing period. Please note :

  • If you increase the number of devices during the year, you will receive an invoice for the additional devices up until the start of your next annual billing period.
  • You can decrease the number of licenses within your annual billing period, however you will not be entitled to a refund for a device no longer in use.
  • If you increase back to the original number of devices you have paid for within your annual billing period you will not be charged.
