Configuring WolMobile SOS Settings

How to configure the SOS Settings for  WolMobile and how to add SOS Responders. User Role required to access these settings: Administrator.

SOS for WolMobile allows users to activate a request for assistance from their smartphone, instantly sending their details and location to designated SOS Responders.

Please Note: In most emergencies, we recommend users still call the local emergency services number before activating the SOS feature.

Getting Set Up

To get WolMobile set up with SOS you’ll need to:

  1. Set up SOS Responders in your location. These can be employees and/or service providers.  They will receive the SOS alert sent from a WolMobile user.
  2. Enable the SOS setting and configure the message you want to be displayed on WolMobile when SOS is triggered.
  3. Run a test SOS from your own smartphone.

Each step is detailed below.

Setting up SOS Responders

SOS Responders must have a profile in WhosOnLocation with a mobile number and email address for receiving SOS alerts.

SOS Responder is a role type for both employees and service providers and is added like all role types. Once the role type is added to the persons WhosOnLocation profile, SOS Responders will be automatically added to the responder list.

Adding Employee SOS Responders

There are three ways to assign an employee the SOS Responder role type in WhosOnLocation:

  1. Manually
  2. Using the Run Action function
  3. Via a CSV import

Manually

Updating an employee's role type individually means that you can only update one employee, you would use this method if you have one or only a few employees that need to have the SOS Responder role type added.

  1. Go to Tools > Locations.
  2. Click View next to your location.
  3. Select Employees from the left-hand menu.
  4. Click View next to the employee’s name.
    Quick Tip! Use the filters at the top of your screen to narrow down the list of employees displayed.

  5. Use the list under Employee Role Type and select SOS Responder.

  6. Click Save & Close.

Repeat this for as many employees as required.

Run Action

You can update multiple employees’ to have the role type SOS Responder by using the Run Action menu in the employee list. 

Please Note: If the employee already has role types, do not use this method as it will remove their existing role types.
  1. Go to Tools > Locations.
  2. Click View next to your location.
  3. Select Employees from the left-hand menu.
  4. Select your employees using the checkboxes on the right of their names.
    Quick Tip! Using the #Records drop down to view all employees on one page.
  5. At the bottom of the page, click the Run an Action menu.
  6. Select Change Role Type.

  7. Select SOS Responder.
  8. Click Run Action.

This will add the SOS Responder role types to the selected employees' profiles. 

CSV Import

You can update multiple employees as SOS Responders at once using a CSV import to update employees. You would use this method if you have a very large number of employees to change, want to make multiple changes to records, or to use spreadsheet filtering to find your employees.

There are two steps to updating your employees using this method:

  1. Export and edit your employee list as a CSV file.
  2. Import the edited CSV file.

Exporting and Editing Your Employee List

  1. Go to Tools > Locations.
  2. Click View next to your location.
  3. Select Employees from the left-hand menu.
  4. Click Export Employees.

  5. Save the CSV file to your computer.
  6. Open the CSV file and add SOS Responder into the Role Type column.

  7. Save the file.
Please Note: For best results, save the file as the CSV UTF-8 file type.

Import Your CSV File

 In WhosOnLocation:

  1. Click Update Employees.

  2. Select Update your Employee List from a CSV File.
  3. Click Select CSV File.
  4. Select the file from your computer and click Open.
  5. Click Update Employees.

The SOS Responder role will be added to the employees profile with any changes made to the CSV file.

Adding Service Provider SOS Responders

There are two ways to assign the SOS Responder role type to a service provider the SOS:

  1. Manually
  2. Using a CSV Import

Manually

Updating a service provider's role type individually means that you can only update one service provider, you would use this method if you have one or only a few service providers that need updating.

  1. Go to Tools > Service Provider Manager.
  2. Select Members from the left-hand menu.
  3. Click View next to the Service Provider’s name.
    Quick Tip! Use the filters at the top of your screen to narrow down the list of members displayed.

  4. Select Organizations from the left-hand menu.
  5. Click Organization Roles.
    Please Note: Role types are assigned for each individual organization. If a member belongs to multiple organization they should have the SOS Responder role for each organization.

  6. Select the SOS Responder role.

  7. Click Close.
  8. Click Save & Exit.

Repeat this for as many service providers as required.

CSV Import

You can update multiple service providers at once using a CSV import to update service provider members. You would use this method if you have a very large number of service providers to change, want to make multiple changes to records, or want to use spreadsheet filtering to find your Service Providers.

There are two steps to updating your service provider members using this method:

  1. Export and edit your member list as a CSV file.
  2. Import the edited CSV file.

Exporting and Editing Your Member List

  1. Go to Tools > Service Provider Manager.
  2. Select Members from the left-hand menu.
  3. Click Export Members.

  4. Select Export All.
  5. Save the CSV file to your computer.
  6. Open the CSV file and add SOS Responder into the Contact Role Type columns after the organization.

Please Note: For best results, save the file as the CSV UTF-8 file type.

Import Your CSV File

 In WhosOnLocation:

  1. Select Update Members.

  3. Select the file from your computer and click Open.
  4. Click Next.
  5. Select WOL ID as the unique identifier.

Service Providers will be updated with all changes contained in the CSV file including adding the role type of SOS Responder against their Service Provider record.

 

Configure SOS Settings

Now you have set up your SOS Responders you need to enable the feature and configure the settings to use SOS. 

  1. Go to Tools > Locations.
  2. Select WolMobile from the left-hand menu.
  3. Select the SOS tab.

  4. Set Enable SOS to Yes.
  5. Check the Emergency Service Number is correct and if not update. This should be the number a WolMobile user calls in an emergency. 
  6. Check the Activation Instructions and edit if required. This will be displayed to the WolMobile user when they activate an SOS alert.
  7. Click Save.

Testing SOS Alert

To test the SOS Alert setup, simply open WolMobile on your phone and tap the SOS button in the top-right corner. We would recommend letting your SOS Responders know before undertaking any testing.
