Verify NZ vaccine passes during sign in or visitor pre-registration

Find out how your guests' vaccine passes are verified using kiosks, Sign In/Out Manager, and in the pre-registered visitor profile.

How it works

The NZ Vaccine Pass integration provides a basic question that can be presented on kiosks, Sign In/Out Manager, and during visitor pre-registration. It is available for all guest types: visitor, employee, and contractor.

Ask guests to verify their pass as a part of the sign in or visitor pre-registration process. The pass is verified by connecting MRI OnLocation to the New Zealand Vaccine Pass system. If vaccine pass verification is mandatory and the guest cannot verify their pass, they cannot complete sign-in or pre-registration. 

This article maps out the workflow for each method, showing where vaccine pass verification fits within the broader sequence of questions.

Your workflow will differ, depending on the basic questions you use and if you have custom questionnaires. If you have an existing custom question asking about vaccination status, you may like to remove this, so your guests are not asked about their vaccination status more than once.  

Sign in/out kiosks

Touchless kiosks, QR code posters, and standard kiosks with an attached barcode scanner can verify vaccine passes. 

If you're using touchless sign in/out, update the wording on the poster or kiosk home screen, so guests know in advance that they will need to upload a PDF or screenshot of their pass. This text can be updated in the Layout tab in the kiosk settings:

Touchless kiosk - iPad, tablet, or QR code poster

  1. The guest scans the QR code on the kiosk or poster with their smartphone's camera.
  2. The web browser opens on their phone, they then tap Sign In, select the guest type, enter their name, organization, and contact information. 
  3. The guest is asked to upload a copy of their vaccine pass. They tap Upload pass, then select a PDF or screenshot of their pass. 


  4. If verified, they can tap Next to continue signing in. If it can't be verified, they'll need to retry or contact their host or the front-of-house staff. 
  5. The guest then must then answer any additional basic or custom questions.
  6. They'll see the answers to all the questions, then click Proceed to sign in.

The guest's vaccine pass verification record will be linked to their sign-in record in the People Presence report.  

Standard kiosk with a barcode scanner

  1. The guest approaches the kiosk and taps Sign In.
  2. They select their guest type, enter their name, organization, contact details.
  3. The guest is asked to scan their NZ vaccine pass. They hold up their digital or printed pass to the barcode scanner, which reads the QR code.
  4. If successful, they tap Next to continue. If it can't be verified, they'll need to contact their host or the front-of-house staff. 
  5. The guest must then answer any additional basic or custom questions to complete signing in.

The guest's vaccine pass verification record will be linked to their sign-in record in the People Presence report.  

 

Sign In/Out Manager

When someone arrives on-site, the front-of-house staff can sign the person in using Sign In/Out Manager. You need a barcode scanner attached to the computer to scan vaccine passes.

If a pass cannot be automatically verified or if your organization only requires a vaccine pass to be presented, your front-of-house staff can manually verify a pass. This will skip the scanning process, and the verification record is marked as manually verified in the People Presence report. 

If a visitor has been pre-registered and has verified their pass, the front-of-house staff will be able to see the verification record by clicking on their name. The visitor will not need to verify their pass again. 

Click on a guest type to see how guests will verify their pass:

Visitors

  1. Go to Tools > Sign In/Out Manager.
  2. In the Visitors tab, click Visitor Sign In.
  3. Enter their name and contact information, click Next
  4. Ask the visitor to hold up their vaccine pass to the barcode scanner.
  5. If it's successfully verified, click Next to complete the remaining questions, then click Sign In.

If the pass could not be verified:

  • Click Scan again to retry
  • Select Manually verified if you've checked the pass and are happy to sign them in
  • Click the X to cancel the sign in process

Employees and contractors

  1. Go to Tools > Sign In/Out Manager.
  2. Select the Employees or Contractors tab, find the person, then click Sign In
  3. Ask the employee to hold up their vaccine pass to the barcode scanner.
  4. If the pass is successfully verified, click Sign In.

If the pass could not be verified:

  • Click Scan again to retry
  • Select Manually verified if you've checked the pass and are happy to sign them in
  • Click the X to cancel the sign in process

 

Visitor pre-registration

Ask visitors to verify their vaccine pass before they arrive on-site. The visitor will receive a link to their visitor profile to upload a PDF or screenshot of their vaccine pass. 

To use this feature, your organization must first:

Visitor profile

When an employee pre-registers a visitor, the visitor will:

  1. Receive an email asking them to complete their visitor profile. They will click Complete your profile to open the profile in their web browser.
  2. They can check the event details, then click Next to answer the pre-registration questions.
  3. They'll answer any basic questions, like their contact details and if they require evacuation assistance. Click Next.
  4. They are then asked to verify their vaccine pass. They must tap Upload pass to upload a PDF or screenshot of their pass. 
  5. If the pass is verified, they can click Next.

    If the pass can't be verified, click Tap to retry. If they can't verify their pass, they should let their host know. 
  6. If any custom questionnaires have been enabled, they will need to answer these questions.
  7. Finally, they'll see a summary of their answers. The visitor can edit their answers or click Save to confirm.

When the visitor arrives on-site, they'll be able to sign in without needing to verify their vaccine pass.
