How it works
As an Identity Manager, you can print ID cards manually or in bulk. This requires the correct hardware, an ID card template, and the ID card tokens added to people’s profiles.
ID card printing works by creating a PDF of the ID card in your web browser and then sending it to your printer. Each browser has a different printing method.
Your printer must have its settings configured before printing. These settings will depend on your printer.
There are two ways to print ID cards in OnLocation:
- By an Identity Manager. This method is outlined in this article.
- By a Location Print Manager, who prints requests for an organization from a central printing point.

Manual printing
Manual printing refers to printing a token directly from the person’s profile. This could be an employee or contractor, navigating to the section requires different steps.
Employees
You need the Administrator and Identity Manager user roles to access these settings.
- Go to Locations, then select the location from the drop-down list.
- Select Employees.
- Find the employee using the filters or search, then click View next to their name.
- Select Employee Tokens from the left-hand menu. There should be a token listed with the print button active. If not, add an ID card token now.
- Click Print.
- Follow the below steps to print for your specific browser.
Contractors
You need the Contractor Manager and Identity Manager user roles to access these settings.
- Go to Tools > Contractor Manager.
- Select Members from the left-hand menu.
- Find the contractor using the filters and/or keyword search.
- Click View next to their profile.
- Select Tokens from the left-hand menu. There should be a token listed with the print button active. If not, add an ID card token now.
- Click Print.
- Follow the below steps to print for your specific browser.
Bulk printing
You need the Identity Manager user roles to access these settings.
Bulk printing refers to printing multiple ID cards at once from the Identity Manager. When printing in bulk you will only be able to print in landscape or portrait. If your tokens have two different orientations, you will need to print these separately.
- Go to Tools > Identity Manager.
- Select Token Holders from the left-hand menu.
- Use the filters to view specific token holders.
- Select the token holders to print ID cards for using the checkboxes on the right-hand side.
- Click Run an Action, then select Print Token. Click OK to confirm.
- Follow the below steps to print for your specific browser.
Browser printing instructions
Browsers supported for printing ID cards are Google Chrome, Mozilla Firefox, Microsoft Edge, and Apple Safari.
Google Chrome
- Follow the above steps for either manual or bulk printing.
- Click the Print Icon in the PDF window.
- Select the correct printer. Make sure the preview is in color to print a color logo or photo, and the sizing is set to Fit the page option to ensure your ID card doesn't shrink when printing.
- Click Print.
The ID card will be printed, and a log of the printing will be created next to the token in MRI OnLocation.
Mozilla Firefox
- Follow the above steps for either manual or bulk printing.
- Click the Tools.
- Select Print.
- Select the correct Printer. Click the Properties button to ensure that the printer settings are correct for this ID card.
- Click OK.
The ID Card will be printed, and a log of the printing will be created next to the token in OnLocation.
Microsoft Edge
When printing from Microsoft Edge, you must save the PDF file to your computer and then print from a PDF reader. You cannot automatically print from the browser.
- Follow the above steps for either manual or bulk printing.
- Right-click the image and select Save as. The ID card will be saved to your computer.
- Open the saved badge pass PDF and select Print.
- Select the correct printer and ensure your settings are correct.
- Print the ID card.
The ID card will be printed, and a log of the printing will be created next to the token in OnLocation.
Apple Safari
When printing from an Apple Safari browser, you must save the PDF file to your computer and then print from a PDF reader. You cannot automatically print from the browser.
- Follow the above steps for either manual or bulk printing.
- Save the PDF to your computer.
- Open the PDF.
- Click Print.
- Select the correct printer and ensure your settings are correct.
- Print the ID card.
The ID card will be printed, and a log of the printing will be created next to the token in OnLocation.
