Print an ID card

Learn how to print ID cards without using a print request. You need the Identity Manager user role to access these settings.

How it works

There are two ways your ID cards can be printed: by an Identity Manager directly or by print request sending to your central printing point for processing.

As an Identity Manager you can print ID cards manually or in bulk. This requires the correct hardware, an ID card template, and the ID card tokens added to people’s profiles.

ID card printing works by creating an online PDF of the ID card and then sendingbit to your ID card printer. This method allows you to print an ID card from any computer and browser, including computers with multiple printers installed.

Each browser has a different printing method as this uses the browser’s native printing functions. Further details are listed below.

Your printer will need to have its settings configured before printing. These settings will depend on your printer and, because most ID card printers are compatible, we are unable to provide an exact guide for this setup.

Manual printing

Manual printing refers to printing a token directly from the person’s profile. This could be an employee or contractor, navigating to the section requires different steps.

Employees

You need the Administrator and Identity Manager user roles to access these settings. 

  1. Go to Locations, then select the location from the drop-down list.
  2. Select Employees.
  3. Find the employee using the filters and/or Keyword Search.
  4. Click View next to their profile.

  5. Select Employee Tokens from the left-hand menu. There should be a token listed with the print button active. If not, add an ID card token now.
  6. Click Print.

  7. Follow the below steps to print for your specific browser.

Contractors

You need the Contractor Manager and Identity Manager user roles to access these settings. 

  1. Go to Tools > Contractor Manager.
  2. Select Members from the left-hand menu.
  3. Find the contractor using the filters and/or keyword search.
  4. Click View next to their profile.

  5. Select Tokens from the left-hand menu. There should be a token listed with the print button active. If not, add an ID card token now.
  6. Click Print.

  7. Follow the below steps to print for your specific browser.

Bulk printing

You need the Identity Manager user roles to access these settings. 

Bulk printing refers to printing multiple ID cards at once from the Identity Manager. When printing in bulk you will only be able to print in landscape or portrait. If your tokens have two different orientations, you will need to print these separately.

  1. Go to Tools > Identity Manager.
  2. Select Token Holders from the left-hand menu.
  3. Use the filters to view specific token holders. Use the # Records button to display as many records as needed on the page.
  4. Select the token holders to print ID cards for using the checkboxes on the right-hand side.
  5. Select Run an Action > Print Token.
  6. Click Run Action.

  7. Follow the below steps to print for your specific browser.

Browser printing instructions

Browsers supported for printing ID cards are Google Chrome, Mozilla Firefox, Microsoft Edge, Internet Explorer, and Apple Safari.

Google Chrome

  1. Follow the above steps for either manual or bulk printing.

    A PDF version of the ID card will appear in a new window. Check the template and details on the ID card are correct.

  2. Click the Print Icon in the PDF window.

    You can download a copy of the PDF from this view. Use this option to capture the QR/barcode of an ID card token without printing a card.

  3. Select the correct printer. Make sure the preview is in color to print a color logo or photo, and the sizing is set to Fit the page option to ensure your ID card doesn't shrink when printing.
  4. Click Print.

The ID card will be printed, and a log of the printing will be created next to the token in WhosOnLocation.

Mozilla Firefox

  1. Follow the above steps for either manual or bulk printing.

    A PDF version of the ID card will appear in a new window. Check the template and details on the ID card are correct.

    You can download a copy of the PDF from this view. Use this option to capture the QR/barcode of an ID card token without printing a card.

  2. Click the Tools.
  3. Select Print.

  4. Select the correct Printer. Click the Properties button to ensure that the printer settings are correct for this ID card.
  5. Click OK.

The ID Card will be printed, and a log of the printing will be created next to the token in WhosOnLocation.

Microsoft Edge and Internet Explorer

When printing from Microsoft Edge and Internet Explorer browsers, you must save the PDF file to your computer and then print from a PDF reader. You cannot automatically print from the browser.

  1. Follow the above steps for either manual or bulk printing.

    A PDF version of the ID card will appear in a new window. Check the template and details of the ID card are correct.
  2. Right-click the image, select Save as. The ID card will save to your computer.

  3. Open the saved badge pass PDF, select Print.
  4. Select the correct printer and ensure your settings are correct.
  5. Print the ID card.

The ID card will be printed, and a log of the printing will be created next to the token in WhosOnLocation.

Apple Safari

When printing from an Apple Safari browser, you must save the PDF file to your computer and then print from a PDF reader. You cannot automatically print from the browser.

  1. Follow the above steps for either manual or bulk printing.

    A PDF version of the ID card will appear in a new window. Check the template and details of the ID card are correct.
  2. Save the PDF to your computer.
  3. Open the PDF.
  4. Click Print.
  5. Select the correct printer and ensure your settings are correct.
  6. Print the ID card.

The ID card will be printed, and a log of the printing will be created next to the token in WhosOnLocation.
