Give an employee access to WolEvac

Learn how to add an employee as a WolEvac user, then send them their unique WolEvac code. You must be an Administrator to be able to grant WolEvac rights to an employee. 

If you haven't enabled the WolEvac add-on, this must be done first by your Account Owner. 

To set up an employee as a WolEvac user: 

  1. Grant employee WolEvac access rights.
  2. Send an employee with the Manager role type a WolEvac application link.

Grant WolEvac rights

  1. Go to Locations, then select the location from the drop-down list.
  2. Select WolEvac.
  3. Click Add WolEvac User.

  4. Enter the name of the employee and select them. Choose any employee in your organization to be a WolEvac user for the specific location. They don't need to be based at that location.
  5. Set their user type:

    Manager – A WolEvac Manager can create and close WolEvac events. Send them a WolEvac code to activate this ability. They can save a shortcut to WolEvac on their phone to create events.

    Assistant – A WolEvac Assistant can only join events created by a Manager. They are automatically invited to join an event by text as soon as one is created. They do not need a WolEvac code and do not need to save a WolEvac shortcut to their phone.
  6. Click Add Employee.


Send WolEvac link and code

Send a user with the Manager user type a link to the WolEvac application. This will allow them to add the WolEvac web-app to their phone:

  1. Go to Locations, then select the location from the drop-down list.
  2. Select WolEvac.
  3. Select the checkbox next to their name.
  4. Select Send Code to Manager from the Run Action drop-down list.
  5. Select either email or text message from the drop-down list. We recommend sending via text message.
  6. Click Run Action.


The employee will be sent a link to the WolEvac web-app and their unique access code. They can then add WolEvac to their phone.
