Sign contractors in or out using Sign In/Out Manager

Learn how to sign contractors in and out manually using the Sign In/Out Manager. You need the Sign In/Out Manager user role to access these settings. 

About contractor sign in/out

Signing contractors in/out is only available if your Account Owner has enabled the Contractor Management add-on.

To change what shows on the page, click View Columns and select or clear the column options.

To change the Location or Access Point, use the drop-down at the top of the page.

Sign in

You can sign in contractors manually or by scanning a token.

Sign in manually

  1. Go to Tools > Sign In/Out Manager.
  2. Select the Contractors tab. You will be presented with the list of contractors that have access to the location and those who are currently on and off-site.
  3. Click Sign In next to a contractor's name.

  4. Answer the required questions, click Next to move through each tab.
  5. Click Sign In.

    This pop-up will only appear if there are questions for contractors enabled by your Administrators.

If you have printing enabled, you will be prompted to print a badge pass. Click Print Pass to use a printer connected to your computer, or Kiosk Print Pass to use a printer connected to the Kiosk.

Sign in by scanning

To scan contractors in you need to have an external scanner connected to the Sign In/Out Manager's computer and the contractor needs to have an active token in their profile.

When scanning in a contractor, you will see a summary of their details and status on-screen. This will show whether they are allowed on-site or if access has been denied due to a system default setting, including:

  • Permitted on-site dates not valid
  • Induction expired (from the option in the course settings, not triggers)
  • Non-active status, e.g. banned

Triggers that deny access will not show in the popup, but they will still deny access when the person is signed in.

Access granted

  1. Scan the contractor's token.
  2. If they belong to more than one organization, select the organization they are signing in with.
  3. Click Sign In.

If any further information is required, the popup will be replaced with a screen to enter these details and complete the sign in process.

If their access is denied due to a trigger setup, the trigger will activate, and further details will be displayed.

Access denied

  1. Scan the contractor's token or click the contractor's name.
  2. The authorization status will be denied, and the reason is listed below. Click Log Access Attempt.

This will notify anyone set up to be informed about a denied contractor trying to sign in and a log will be made in the reporting.

 

Sign out

You can sign contractors out individually or in bulk using the Sign In/Out Manager.

Sign out button

  1. Go to Tools > Sign In/Out Manager.
  2. Click the Sign Out button.
  3. Select the Contractors tab.
  4. Click Sign Out next to a contractor.

  5. Find specific contractors in a big list using Keyword Search.

Scanning

  1. Scan the contractor's token. This will display a popup with a summary of their information.
  2. Click Sign Out.
