Set up SOS for WolMobile and assign the SOS Responder role

Learn how to configure the WolMobile SOS settings and assign the SOS Responder role to employees and contractors. You need the Administrator user role to update these settings.

How it works

SOS for WolMobile allows users to activate a request for assistance from their smartphone, instantly sending their details and location to designated SOS Responders.

To get WolMobile set up with SOS:

  1. Enable the SOS setting and configure the message you want to be displayed on WolMobile when SOS is triggered.
  2. Set up SOS Responders in your location. These can be employees and contractors. They will receive the SOS alert sent from a WolMobile user.
  3. Run a test SOS from your smartphone.
We recommend that users call the local emergency services number before activating the SOS feature in most emergencies.

Step 1: Choose the SOS settings

First, enable SOS and configure the settings that will show in WolMobile:

  1. Go to Locations, then select the location from the drop-down list.
  2. Select WolMobile.
  3. Select the SOS tab.
  4. Set Enable SOS to Yes.
  5. Check the emergency service number is correct, then update if required. This should be the number a WolMobile user calls in an emergency. 
  6. Check the activation instructions and update if required. This will be displayed to the WolMobile user when they activate an SOS alert.
  7. If you haven't already assigned the SOS Responder role in your employee or contractor profiles, click Add Responder to assign the role. See below for instructions. 
  8. Click Save.

Step 2: Set up your SOS responders

SOS Responders must have a profile in WhosOnLocation with a mobile number and email address for receiving SOS alerts. SOS Responder is a role type for both employees and contractors.

There are three ways to assign this role in WhosOnLocation: 

Add SOS responders in the WolMobile SOS tab

Any employee or contractor with an email address and mobile number loaded into their profile can be given the SOS Responder role from the WolMobile SOS tab.

To assign the role: 

  1. Go to Locations, then select the location from the drop-down list.
  2. Select WolMobile.
  3. Select the SOS tab.
  4. Click Add Responder to assign the role. 
  5. Start entering the employee's or contractor's name, then click on it.
  6. Click Add
  7. Click Save.

If a responder is missing an email address or mobile number in the future, a warning icon will display in this list, highlighting that they have missing contact information.

Add SOS responders in Employees

There are three ways to assign an employee the SOS Responder role type in WhosOnLocation:

  1. Manual update
  2. Bulk update using the run action menu
  3. CSV import

Manual update

If you need to add the SOS Responder role for a small number of employees, do this manually.

To update an employee: 

  1. Go to Locations, then select the location from the drop-down list.
  2. Select Employees.
  3. Click View next to the employee’s name. Use the filters at the top of your screen to narrow down the list of employees displayed.

  4. Under Employee Role Type, select SOS Responder.

  5. Click Save & Close.

Repeat this for as many employees as required.

Bulk update using the run action menu

You can update multiple employees’ to have the role type SOS Responder by using the run action menu in the employee list. 

If the employee already has role types, this method will remove their existing role types.

To use run action: 

  1. Go to Locations, then select the location from the drop-down list.
  2. Select Employees.
  3. Select your employees using the checkboxes on the right of their names. Use the #Records drop-down to view all employees on one page.
  4. At the bottom of the page, click the Run an Action menu.
  5. Select Change Role Type.
  6. Select SOS Responder.
  7. Click Run Action.

This will add the SOS Responder role types to the selected employees' profiles. 

CSV import

You can update multiple employees as SOS Responders at once using a CSV import to update employees. Use this method if you have many employees to change, you need to make multiple changes to records, or need to use a spreadsheet to find your employees.

There are two steps to updating your employees using this method:

  1. Export and edit your employee list as a CSV file.
  2. Import the edited CSV file.

To export and edit your employee list: 

  1. Go to Locations, then select the location from the drop-down list.
  2. Select Employees.
  3. Click Export Employees.

  4. Save the CSV file to your computer.
  5. Open the CSV file and add SOS Responder into the Role Type column.
  6. Save the file as the CSV UTF-8 file type.

To import your CSV file:

  1. Click Update Employees.

  3. Click Select CSV File, select the saved CSV file from your computer and click Open.
  4. Click Upload CSV File.

  5. Set the Unique Identifier to Status ID, then click Submit for Validation.

  6. Click Confirm & Submit, then click Close.

The SOS Responder role will be added to the employee's profile with any changes made to the CSV file.

Add SOS responders in Contractor Manager

There are two ways to assign the SOS Responder role type in Contractor Manager:

  1. Manual update
  2. CSV import

Manual update

If you need to add the SOS Responder role for a small number of contractors, do this manually.

To update a contractor: 

  1. Go to Tools > Contractor Manager.
  2. Select Members from the left-hand menu.
  3. Click View next to the contractor's name. Use the filters at the top of your screen to narrow down the list of members displayed.

  4. Select Organizations from the left-hand menu.
  5. Click Organization Roles.
    Role types are assigned for each organization. If a member belongs to multiple organizations, they should have the SOS Responder role for each.

  6. Select the SOS Responder role, then click Close.

  7. Click Save & Close.

Repeat this for as many contractors as required.

CSV import

You can update multiple contractors at once using a CSV import to update contractor members. Use this method if you have a very large number of contractors to change, want to make multiple changes to records, or want to use spreadsheet filtering to find your contractors.

There are two steps to updating your contractor members using this method:

  1. Export and edit your member list as a CSV file.
  2. Import the edited CSV file.

To edit and update your member list: 

  1. Go to Tools > Contractor Manager.
  2. Select Members from the left-hand menu.
  3. Click Export Members.

  5. Save the CSV file to your computer.
  6. Open the CSV file and add SOS Responder into the Contact Role Type columns after the organization.
  7. Save the file as the CSV UTF-8 file type.

To import your CSV file: 

  1. Select Update Members.

  3. Click Select CSV File, select the saved file from your computer and click Open.
  4. Click Upload CSV File.

  5. Set the Unique Identifier to Status ID, then click Submit for Validation.

Contractors will be updated with all changes contained in the CSV file including adding the role type of SOS Responder against their contractor record.

 

Step 3: Test the SOS alert

We recommend letting your SOS Responders know before undertaking any testing.

To send a test SOS alert:

  1. Open WolMobile on your phone and tap SOS in the top-right corner.
  2. Check that your responders receive the alert
  3. Tap I'm safe now to deactivate the alert.
