Configure the WolMobile SOS settings

Configure the SOS Settings for WolMobile and how to add SOS Responders. You need the Administrator user role to update these settings.

SOS for WolMobile allows users to activate a request for assistance from their smartphone, instantly sending their details and location to designated SOS Responders.

In most emergencies, we recommend users still call the local emergency services number before activating the SOS feature.

Get set up

To get WolMobile set up with SOS you’ll need to:

  1. Set up SOS Responders in your location. These can be employees and/or contractors. They will receive the SOS alert sent from a WolMobile user.
  2. Enable the SOS setting and configure the message you want to be displayed on WolMobile when SOS is triggered.
  3. Run a test SOS from your smartphone.

Each step is detailed below.

Set up SOS responders

SOS Responders must have a profile in WhosOnLocation with a mobile number and email address for receiving SOS alerts.

SOS Responder is a role type for both employees and contractors and is added like all role types. Once the role type is added to the persons WhosOnLocation profile, SOS Responders will be automatically added to the responder list.

Add employee SOS responders

There are three ways to assign an employee the SOS Responder role type in WhosOnLocation:

  1. Using the Run Action function
  2. Via a CSV import

Manually

Updating an employee's role type individually means that you can only update one employee, you would use this method if you have one or only a few employees that need to have the SOS Responder role type added.

  1. Go to Locations, then select the location from the drop-down list.
  2. Select Employees.
  3. Click View next to the employee’s name. Use the filters at the top of your screen to narrow down the list of employees displayed.

  4. Under Employee Role Type, select SOS Responder.

  5. Click Save & Close.

Repeat this for as many employees as required.

Run Action

You can update multiple employees’ to have the role type SOS Responder by using the Run Action menu in the employee list. 

If the employee already has role types, do not use this method as it will remove their existing role types.

To use Run Action: 

  1. Go to Locations, then select the location from the drop-down list.
  2. Select Employees.
  3. Select your employees using the checkboxes on the right of their names. Using the #Recordsdrop-down to view all employees on one page.
  4. At the bottom of the page, click the Run an Action menu.
  5. Select Change Role Type.
  6. Select SOS Responder.
  7. Click Run Action.

This will add the SOS Responder role types to the selected employees' profiles. 

CSV import

You can update multiple employees as SOS Responders at once using a CSV import to update employees. You would use this method if you have a very large number of employees to change, want to make multiple changes to records, or to use spreadsheet filtering to find your employees.

There are two steps to updating your employees using this method:

  1. Export and edit your employee list as a CSV file.
  2. Import the edited CSV file.

To export and edit your employee list: 

  1. Go to Locations, then select the location from the drop-down list.
  2. Select Employees.
  3. Click Export Employees.

  4. Save the CSV file to your computer.
  5. Open the CSV file and add SOS Responder into the Role Type column.

  6. Save the file as the CSV UTF-8 file type.

To import your CSV file:

  1. Click Update Employees.

  3. Click Select CSV File, select the saved CSV file from your computer and click Open.
  4. Click Upload CSV File.

  5. Set the Unique Identifier to Status ID, then click Submit for Validation.

  6. Click Confirm & Submit, then click Close.

The SOS Responder role will be added to the employee's profile with any changes made to the CSV file.

Add contractor SOS responders

There are two ways to assign the SOS Responder role type to a contractor the SOS:

  1. Manually
  2. Using a CSV Import

Manually

Updating a contractor's role type individually means that you can only update one contractor, you would use this method if you have one or only a few contractors that need updating.

  1. Go to Tools > Contractor Manager.
  2. Select Members from the left-hand menu.
  3. Click View next to the contractor's name.
    Use the filters at the top of your screen to narrow down the list of members displayed.

  4. Select Organizations from the left-hand menu.
  5. Click Organization Roles.
    Role types are assigned for each organization. If a member belongs to multiple organizations, they should have the SOS Responder role for each.

  6. Select the SOS Responder role, then click Close.

Repeat this for as many contractors as required.

CSV import

You can update multiple contractors at once using a CSV import to update contractor members. You would use this method if you have a very large number of contractors to change, want to make multiple changes to records, or want to use spreadsheet filtering to find your contractors.

There are two steps to updating your contractor members using this method:

  1. Export and edit your member list as a CSV file.
  2. Import the edited CSV file.

To edit and update your member list: 

  1. Go to Tools > Contractor Manager.
  2. Select Members from the left-hand menu.
  3. Click Export Members.

  5. Save the CSV file to your computer.
  6. Open the CSV file and add SOS Responder into the Contact Role Type columns after the organization.

  7. Save the file as the CSV UTF-8 file type.

To import your CSV file: 

  1. Select Update Members.

  3. Click Select CSV File, select the saved file from your computer and click Open.
  4. Click Upload CSV File.

  5. Set the Unique Identifier to Status ID, then click Submit for Validation.

Contractors will be updated with all changes contained in the CSV file including adding the role type of SOS Responder against their contractor record.

 

Configure SOS settings

Now you have set up your SOS Responders, enable the feature, and configure the settings to use SOS:

  1. Go to Locations, then select the location from the drop-down list.
  2. Select WolMobile.
  3. Select the SOS tab.

  4. Set Enable SOS to Yes.
  5. Check the Emergency Service Number is correct and if not update. This should be the number a WolMobile user calls in an emergency. 
  6. Check the Activation Instructions and edit if required. This will be displayed to the WolMobile user when they activate an SOS alert.
  7. Click Save.

Testing SOS alert

To test the SOS Alert setup, simply open WolMobile on your phone and tap the SOS button in the top-right corner. We would recommend letting your SOS Responders know before undertaking any testing.
