Manage global custom questionnaires

Users with the Global Questions Manager role can manage all of an organization's custom questionnaires. Search for a questionnaire, then edit, clone, activate, or remove/archive it.

Search for a questionnaire

There are two tabs within Global Sign In/Out Questions:

  • Global Questions - includes any questionnaire created in Global Sign In/Out Questions or any location questionnaire cloned and activated for multiple locations. 
  • Location Questions - any questionnaire created by a location Administrator and has not been used globally.

To search for a questionnaire:

  1. Go to Tools > Global Sign In/Out Questions.
  2. Select the Global Questions tab or the Location Questions tab. 
  3. Click the funnel icon, then search questionnaires and filter by locations, location group, audience, status, and keyword.
  4. Click Search.

In the Global Questions tab, if a questionnaire has an active status, click Active to view the number of locations the questionnaire is active, which sign in/out modes have been activated, and if there are any triggers linked to the questionnaire.

If a questionnaire has a warning symbol next to it, this indicates that a location has deactivated any or all of the sign/out modes. You'll need the Administrator role for the location to check which mode has been deactivated.  


Edit a questionnaire

If you need to change the questions, sign in/out modes, or locations the questionnaire is activated for, edit the questionnaire.

If you change a questionnaire that already has submissions attached to it, OnLocation will automatically clone the questionnaire. You’ll need to publish the cloned questionnaire to ensure the changes show on your kiosks.

To edit a questionnaire:

  1. Go to Tools > Global Sign In/Out Questions.
  2. Select the Global Questions tab or the Location Questions tab. 
  3. Find the questionnaire. You may need to use the search filters to find the questionnaire.
  4. Click Manage.
  5. Click Update Questionnaire Details.
  6. Edit the questionnaire name, audience, frequency, then click Save.

  7. Update the questions as required.
  8. Publish and activate the questionnaire.

Clone a questionnaire

Cloning a questionnaire is a quick option for setting up a new questionnaire that has similar content to another questionnaire. It will copy across all the settings except the activation mode.

To clone a questionnaire:

  1. Go to Tools > Global Sign In/Out Questions.
  2. Select the Global Questions tab or the Location Questions tab. 
  3. Find the questionnaire. You may need to use the search filters to find the questionnaire.
  4. Click Clone, then click Confirm.

  5. Click Manage next to the cloned questionnaire.
  6. Click Update Questionnaire Details to edit the questionnaire name, audience, and frequency. Click Save.
  7. Update the questions as required.
  8. Publish and activate the questionnaire.

Activate multiple global questionnaires

To activate multiple questionnaires:

  1. Go to Tools > Global Sign In/Out Questions.
  2. Select the Global Questions tab. 
  3. Find the questionnaires. You may need to use the search filters to find them.
  4. Select the checkboxes next to the questionnaires.
  5. Click Run an action, then select Activate Questionnaires

  6. Select the activate modes, then click Next.
  7. Select the locations or location groups, then click Save

Remove or archive a questionnaire

If a questionnaire has submissions recorded against it, you’ll only be able to archive a questionnaire, not delete it.

To remove or archive a questionnaire: 

  1. Go to Tools > Global Sign In/Out Questions.
  2. Select the Global Questions tab or the Location Questions tab. 
  3. Find the questionnaire. You may need to use the search filters to find it.
  4. Either:

    Click Remove, then click Remove to delete the questionnaire.

    Click Archive, then click Remove to archive the questionnaire.
