Manage reminders and breach alerts for incomplete departure questions

Reminders and breach alerts help ensure compliance by notifying employees and admins when departure questionnaires remain incomplete after sign-out.

Galliford sends notifications based on user actions:

  • Entry Notification - Sent when an employee enters the geofence
  • Exit Notification - Sent when an employee leaves the geofence
  • Reminder Email/SMS - Sent after 10 minutes if questions are unanswered
  • Breach Alert - Sent to admins after 15 minutes

Configure auto sign-in/out

Auto sign-in/out is required for departure question monitoring.

To configure auto sign-in/out:

  • Go to: Locations > Mobile Settings
  • Click Onlocation Mobile

  • Click Auto Sign in/Out
  • Enable Send prompt to answer questions after Sign-In/Out

Note: If this setting is disabled, arrival and departure question monitoring will not work.
  • Select the Question prompt delivery method 
Tip: Ensure employee profiles include a valid mobile number and email address.
  • Tick Send reminder after 10 minutes

This will send a reminder if questions remain unanswered for 10 minutes.

  • Tick Enable breach alert after 15 minutes

This notifies admins if questionnaires are still incomplete after 15 minutes.

  • Select the admin or employee to be notified

Configure geofence

To use auto sign-in/out, configure at least one geofence:

  • Click the full screen button on the map
  • Use the default circle geofence
  • Draw a custom shape geofence

  • Click Save

View sign-in/out status

Admins can monitor questionnaire completion in People Presence.

To view sign-in/out status report:

  • Go to: Reporting > People Presence
  • Select the Office
  • Select Employees in the data source
  • Click View Report

Admins will be able to see records of employees or contractors that have status indicators.

Status indicators:

  • Yellow Warning - Questions pending (within 10 minutes)
  • Red Warning - Breach alert triggered (after 15 minutes)

An email will also be sent to the admin notifying them that an employee has entered or exited the location but has not completed the required entry or departure questions.

Enable location permissions

Employees must allow notifications and location permissions for auto sign-in/out to work.

To allow notifications:

  • Long-press the mobile app
  • Tap App Info

  • Tap Manage notifications

  • Tap Allow notifications

To allow permissions:

  • Click Permission 
  • Click Location

  • Tap Allow All the Time

What employees see in the app

When auto sign-in/out is enabled, employees or contractors receive:

  • Entry and exit pop-up notifications with questionnaires (if assigned)

  • Important Notices section showing sign-in/out times and pending questionnaires

  • Red Dot notification if there are unanswered questions
