This feature is used to make the process of dropping off deliveries to the right people as efficient as possible. By enabling Deliveries on your Kiosk, delivery agents can select the package's recipient and give some details without having to sign in.
The recipient will receive a notification to let them know their delivery has arrived and the delivery agent will receive on-screen instructions.
How To Enable Deliveries on the Kiosk
Deliveries needs to be enabled in the Mode tab of the Sign In/Out Kiosk before the Deliveries options appear.
- Go to Tools > Locations.
- Click View next to your locations.
- Select Sign In/Out Kiosks from the left-hand menu.
- Click View next to your Kiosk (for an existing Kiosk).
- Select the Mode tab.
- For Person Type, tick the box next to Deliveries.
This will make the Deliveries tab appear next to the Notifications tab.
To set up the Deliveries settings, select the Deliveries tab; there are four sections to the Deliveries settings.
There are five default options for delivery types: Parcel(s), Mail, Flowers, Food, and Other. You can remove any of these by clicking the x in the option box. And you can add any new options by typing in the Delivery Types field.
A delivery agent using Deliveries will choose one of these when entering details into the Kiosk and this information will be relayed to the recipient.
There are two types of notification recipient settings: Mulitple People Delivery and Single Person Delivery.
Multiple People Delivery
A delivery agent will select this option if the delivery is for more than one person, e.g. the Marketing Department, the Company or if the person is unknown.
People set up to receive these notifications will also receive a notification for Single Person Deliveries. This acts as a failsafe in case the selected person does not have the necessary details (email address or mobile number) in WhosOnLocation to receive a notification. The two notifications received will be notably different to avoid any confusion.
You can choose up to three employees and one non-employee to receive these notifications, and you must set up at least one recipient.
To choose an employee to receive this notification, click on the Search for Employee bar, begin typing the employee's name, and select them from the dropdown menu. Then, select how you want this employee to be notified (Email and/or Text) by ticking the box next to the option.
To set up a non-employee, simply add their email address and/or mobile number into the Send to this non-employee fields.
Single Person Delivery
A delivery agent will select this option if their delivery is for one person who is an employee in the system.
Simply choose the notification types (Email and/or Text) you want the recipient to receive by ticking the box next to the option. As long as the recipient has the necessary information (email address or mobile number) entered into WhosOnLocation they will receive a notification and, as a failsafe, the Multiple People Recipients will also receive a notification about the delivery.
This section gives you the ability to add additional fields to be answered when an item is being delivered. These are used in less common circumstances and are therefore optional extras instead of required for all deliveries.
Sender - The person or company that has sent the delivery.
Tracking Number - The tracking number listed on the package.
Information captured from additional fields will be included in the Deliveries Reports.
Instructions to Delivery Agent
These settings are in the Delivery Agent Instructions tab under Deliveries.
You can customize a different message for four different types of deliveries:
Single Person - Signature Required - The delivery recipient will be notified and a signature is required for the release of the delivery.
Multiple People - Signature Required - The multiple people recipients will be notified and there isn't any specific person required to collect, but a signature is required for the release of the delivery.
Single Person - Signature Not Required - The delivery recipient will be notified but there is no signature required so the delivery could be left by the delivery agent.
Multiple People - Signature Not Required - The multiple people recipients will be notified and there isn't any specific person required to collect, there is no signature required so the delivery could be left by the delivery agent.
There is a default message for all delivery types to ensure that instructions are always given to the delivery agent. This is a very generic message and we highly recommend customizing this for your specific location.
These settings are in the Branding tab.
From here you can change the wording and colors of the Deliveries button on the kiosk.
The Deliveries button will appear in the bottom-center of the kiosk screen unless it is the only option, in which case it will replace the Sign In and Sign Out buttons.
Deliveries Name - The wording displayed on the Deliveries button on the kiosk. You may want to customize this depending on your region, but you will want all delivery agents to use this without explanation required.
Delivery Button Color - The main color of the Deliveries button.
Delivery Text Color - The color of the text on the Deliveries button.
Once you have finished customizing your Deliveries button, click Preview Kiosk to see how it looks on a full screen.
Using Deliveries on a Sign In/Out Kiosk
When a Delivery Agent approaches your kiosk, they can now choose the Delivery option (branded by you in the Deliveries Branding section) making their interaction with your organization as efficient and reliable as possible.
Once they choose this option, they will go through for the following steps:
- Choose if the package is for a singular person or multiple people.
- Singular is for one specific person, Multiple is for a group of people. This effects the instructions given to the delivery agent.
- Click Next.
(If Applicable) If Singular is selected, enter the employee the delivery is for.
- Click Next.
- Select the Delivery Type.
The delivery agent can select more than one type if necessary.
- Click Next.
- Select whether or not a signature is needed for the release of the delivery.
- Click Continue.
The instructions set up for this type of delivery in the kiosk settings will be displayed on the kiosk for the delivery agent to acknowledge.
- Click the Click to Acknowledge button.
A notification will be sent to the recipient(s) according to the settings and type of delivery.
An email and/or text will be received by one or more people about the delivery. All people set up as Multiple Person Delivery recipients will receive an email for all deliveries.
By setting up employees with the necessary email address and/or mobile number in WhosOnLocation as recipients, you can ensure that someone will always be notified about deliveries whether or not the intended recipient has information in WhosOnLocation.
Deliveries recipients will receive an email and/or text which says where the delivery agent is at your location, what the delivery is, and if it requires a signature.
If it is an email, the subject line will say who the delivery is for and it will include the instructions given to the delivery agent.
