About induction invites
Send your employees and contractors eLearning course invitations by email or SMS. The Induction Manager for your organization chooses which method to send.
Once an eLearning course is created and the course is published, invitations can be sent automatically or manually from three areas in OnLocation:
- Induction Manager
- Contractor Manager
- Employees
The invite contains the name of the course, a unique link to the course, and the name of the contact person. You can't change the contents of the email or SMS.

Send an induction course invitation
Before sending the invite, check that your learners' contact details are correct. View the employees' and contractor members' profiles to check their information. They need to have a primary email address, alternative email address, or mobile number recorded.
From Induction Manager
You must have the Induction Manager user role to access these settings.
- Go to Tools > Induction Management.
- Click Invite next to the course.
- Select the checkboxes next to the learners you want to invite.
- Click Run an action, then select how you want to send the invitation. Click Ok to confirm.
The learner's induction status displays in their profile. Go to the employee or contractor, select inductions, and then check the Current Status column.
From your employee profiles
You must have the Administrator user role to access these settings.
- Go to Locations, then select the location from the drop-down list.
- Select Employees.
- Search for the employee, then click View next to their name.
- Select Employee Inductions from the menu on the left.
- Click Invite next to the course.
- Choose how you would like to send the invite. Select the checkboxes next to Email or SMS, then click Send.
The learner's induction status displays in their profile. Go to the employee, select inductions, then check the Current Status column.
From Contractor Manager
You must have the Contractor Manager user role to send an invitation from Contractor Manager.
Using the run action menu
Using the run action menu, you can send invites to a selection of your contractor members. Choose the members, then select their induction and course status. You'll have a chance to check what invitations will be sent before sending them.
- Go to Tools > Contractor Manager.
- Select Members from the left-hand menu.
- Use the checkboxes on the right-hand side to select the members to update.
- Click Run an action, then select Send induction invitations.
- Choose the induction status: Not inducted or Passed.
- If you'd like to remove a specific not inducted status, click the X next to Expired, Failed, In progress, Invited, or Not invited.
- Click Run Action.
- Check the summary of who will receive an invite, then click Send Invitations.
From the contractor profile
- Go to Tools > Contractor Manager.
- Select Members from the left-hand menu.
- Search for the member, then click View next to their name.
- Select Inductions from the menu on the left.
- Click Invite next to the course.
- Choose how you would like to send the invite. Select the checkboxes next to Email or SMS, then click Send.
The learner's induction status displays in their profile. Go to the contractor member, select inductions, then check the Current Status column.
