Internal and External Induction Courses

How to create Internal and External Induction courses and add them to learners' profiles. You must have the Induction Manager user role assigned to access Induction Courses.

There are three types of induction courses within WhosOnLocation - Internal, External, and WOL eLearning.

Course Types

Internal - An internal induction course is a course created and delivered by members of your own organisation, this may include group presentations, show and tell site walk-throughs, etc.

External - An external induction course is a course created and delivered by a third party, this may include health and safety training, specific licences, etc.

How to Create an Induction Course

To create an internal or external course:

1. Go to Tools > Induction Management

You will land on the Induction Courses page.

2. Click the green Create a New Induction Course button

3. Select Course Type as either internal or external

4. Enter the Course Name

5. Enter a Description of the course so that other users with access to the induction tools can see the purpose, scope, and/or intent of this course

6. Click Next

7. Choose the types of people (learners) you want to be able to take this course

You can choose Employees, Service Providers, or both. And you can choose to restrict these learners by departments and roles

8. Choose how often this induction course needs to be renewed

9. Click Save

Your course is now ready to activate and add to learner’s profiles.

To activate the course, simply click on the orange Pending button next to your course, and select Activate.

Adding an Induction Course to a Learner Profile

Employee Learners

To add the induction course to an employee profile:

1. Go to Tools > Locations

2. Click View for the location the learner is set up in

3. Select Employees from the left-hand menu

4. Search for the employee using the Keyword Search and click Search

5. Click the green View button next to the employee

6. Select Employee Inductions from the left-hand menu

7. Click Add next to the induction course you would like to apply to the employee’s profile

8. Select the date the course was passed

9. Click Add Induction

10. Add any documents relating to the employee's induction records by clicking Documents next to the course

Please Note: Documents can be any reference for the induction, evidence that it is completed, specific paperwork needed to be kept, or any other document relevant to the employee having passed this induction course.

11. Click Select File

12. Choose the document from your computer and click Open

The document will be uploaded and you can View or Remove it from the profile.

Click Back to Induction Courses to return to the employee’s profile.

Service Provider Learners

To add the induction course to a service provider member’s profile:

1. Go to Tools > Service Provider Manager

2. Select Members from the left-hand menu

3. Search for the member using the keyword search and click Search

4. Click the green View button next to the Member

5. Select Member Inductions from the left-hand menu

6. Click Add next to the induction course you would like to apply to the member’s profile

7. Select the date the course was passed

8. Click Add Induction

You can then see the logs of the induction course for that learner showing when they passed each course.
