Manually invite users to OnLocation Mobile

Learn how to invite employees and contractors to OnLocation Mobile manually. You need the Administrator user role to invite employees and the Contractor Manager user role to invite contractors. 

Before you can invite employees and contractors, you must:

If you have not configured any settings, you can still grant access to OnLocation Mobile. Without the full configuration, users can receive push notifications and general information about your locations.

You can choose if you'd like to send invitations to employees automatically. This is configured in the app's global default settings, or each location can turn off the global settings and choose their own settings

Pre-invite email

You may like to send your employees and contractors an email before sending their invite to let them know what the app is and what's going to happen next.

Hi there

We’re implementing OnLocation Mobile - a mobile app from MRI OnLocation.

OnLocation Mobile is an app that enables employees and contractors to sign in and out for work and receive important safety notifications, among other features.

What happens next

You will receive a separate email from OnLocation containing your invitation and instructions for downloading the app. Please follow the steps to get started.

Invite employees

To invite employees to use OnLocation Mobile:

  1. Go to Locations, then select the location from the drop-down list.
  2. Select Employees.
  3. Click View Columns, then select OnLocation Mobile.

You can now see the OnLocation Mobile status for each employee. There are 3 statuses:

  • Inactive - the employee has not been invited to use OnLocation Mobile
  • Invite sent - the employee has been invited but not yet logged into OnLocation Mobile
  • Active - the employee has logged into OnLocation Mobile

Invite an employee

From the employee list:

  1. Click View next to their name.
  2. Select OnLocation Mobile from the left-hand menu.
  3. Click Send Activation.

  4. Click either Send via Text Message or Send via Email.

You must send the OnLocation Mobile URL invite first. If the employee activates their code first, it will not work.  

Invite multiple employees

From the employee list:

  1. Select employees using the checkbox on the right-side in line with their names. Use the # Records button to display more records on one page.
  2. Click the Run an Action dropdown menu.
  3. Select Activate OnLocation Mobile.
  4. Select either the Via Email or Via Text Message option.
  5. Click Run Action.

Invite contractors

To invite contractors to use OnLocation Mobile:

  1. Go to Tools > Contractor Manager.
  2. Select Members from the left-hand menu.
  3. Click View Columns, then select OnLocation Mobile.

You can now see the OnLocation Mobile status for each contractor. There are 3 statuses:

  • Inactive - the contractor has not been invited to use OnLocation Mobile
  • Invite sent - the contractor has been invited but not yet logged into OnLocation Mobile
  • Active - the contractor has logged into OnLocation Mobile

Invite a contractor

From the Members list:

  1. Click View next to their name.
  2. Select OnLocation Mobile from the left-hand menu.
  3. Click Send Activation.

  5. Click Run Action.

Invite message

The invite message is sent to an employee or contractor so they can use OnLocation Mobile.

Both the email and text message include their OnLocation Mobile code and a unique link. Clicking on the link will either take them to download the app or will load the app and automatically enter the code for them.
