Send an OnPass

Send an OnPass manually, automatically, and from the Sign In/Out Manager. The options available to you depend on your account’s settings and user role.

How it works

There are three different ways you can send an OnPass to visitors:

To use OnPass, your Account Owner must enable the OnPass add-on in your account settings.  OnPass must also be activated for each of your locations.

Send automatically

If your account has enabled the Calendar Invites integration, you can send OnPasses automatically. This allows you to pre-register visitors directly from your calendar.

There are two settings for automatically sending your OnPass: as soon as a calendar event is created or once your visitor(s) has completed their visitor profile. Once enabled, the OnPass will be automatically sent based on the selected settings.

It is not necessary to automatically send the OnPass when using Calendar Invites. If the feature is not enabled, then the OnPass will not send.

To access these settings:

  1. Go to Tools > OnPass Manager.
  2. Click View next to your location's OnPass.
  3. Select the Automated Sending tab.
  4. Choose your settings.
  5. Click Save & Close.

Send manually for pre-registered visit

Any user that has login permission to the MRI OnLocation desktop application can pre-register visitors and, if the OnPass for their location is enabled, send an OnPass to those visitors.

To send an OnPass:

    1. Go to My Visitors > My Pre-Registered Visitors.
    2. Click Send OnPass next to your visitor.

    3. Check the visitor’s email address has been added correctly.
    4. Click Send, then click Yes to confirm.

      For a group of visitors, select the visitors using the checkboxes and click Send OnPass to Selected.
    5. The date and time the OnPass was sent will appear. Click Close

Send manually in Sign In/Out Manager

As a Sign In/Out Manager, you can see all pre-registered visitors that are scheduled to come to your location. You can also see whether a visitor has been sent an OnPass and if not, send one to them.

To send an OnPass to a pre-registered visitor from the Sign In/Out Manager screen:

  1. Go to Tools > Sign In/Out Manager.
  2. Click Send OnPass next to the visitor/visitor group.

  3. Check the visitor’s email address has been added correctly.
  4. Click Send, then click Yes to confirm.

    For a group of visitors, select the visitors using the checkboxes and click Send OnPass to Selected.
  5. The date and time the OnPass was sent will appear. Click Close
